Record the checks you already carry out in meeting rooms, kitchens or other shared spaces, with a clear location and notes.
Keep a record of the items checked and note anything missing or needing replacement. Choose the items and schedule appropriate to your workplace.
Keep relevant certificates and service documents with the office site or the check they support, instead of leaving them in one person’s inbox.
Record results against equipment or work areas, then keep the notes and follow-up with the original finding.
Record your existing equipment checks with an asset reference or separate item results. Your procedures and manufacturer guidance determine what to check.
Keep records specific to a workbench, storage area or workshop bay. Add notes to explain where a problem was found and what needs attention.
Keep inspection reports, service records and other supporting files with the relevant check or site, ready to find alongside the recorded results.
These are examples of records you can organise, not a prescribed checklist. Choose the checks and schedules appropriate to your premises, equipment and responsibilities.

In the fictional Willowbrook Parish Council hall, open Record check. Select Issue found for the hall entrance check, enter “Main entrance” as the location and add “Entrance mat is curling at the edge. Replacement requested.” Check the recorder and date, then save. Open the logbook and the saved record to see the result, notes and account that saved it. The issue remains open for follow-up.

No. It is a tool for recording checks, results and follow-up actions. It does not provide professional safety advice, determine which checks your premises need, or guarantee legal compliance.

Yes. The logbook and recording forms are designed to work in a phone browser as well as on a computer. You need an internet connection to save records.
Yes. In Logbook, export a CSV or use Print / PDF and choose “Save as PDF” in your browser. These exports include notes, item results and follow-up actions. In Documents, download original files individually or together as a ZIP. Original files are separate from your logbook export.
Assign a person responsible for a check, or enable site-wide summaries in Admin → Staff & reminders. Email recipients need a verified account with access to the site. You can set how many days before a due date reminders start. Delivery depends on the service and your email provider; keep another way to remember essential work.
Use Admin → Staff & reminders to invite people and choose their sites. Everyone signs in with their own account. Adding a name to the staff directory does not grant access; the person must accept an invitation. Staff logins are included in the site plan.
Review your sites in Admin → Billing during the 30 days before renewal. Deselect sites to keep using them until paid access ends, or select none to stop renewal. Retiring a site stops recording immediately and removes its £49 from the next renewal, with no part-year refund. Records remain read-only for 12 months after paid access ends, then are deleted after email warnings. Export your logbook and original documents before then. See the terms.
